Before you begin

Assign one workflow owner. Inventory the source system, destination, credentials, permissions, consent requirements, and current manual fallback. Use test records whenever possible. This playbook is operational guidance, not legal, safety, tax, or trade advice.

Required controls

Test plan

Happy path: Use a representative record and confirm every field, message, status, and owner.

Exceptions: Test missing data, duplicates, opt-outs, invalid formats, after-hours conditions, and staff overrides.

Failure: Disable a connection or permission and confirm an alert reaches the owner without losing the source record.

Reconciliation: Compare source and destination counts; inspect a sample rather than trusting a success screen.

Launch and review

Begin with a small live cohort. Tell affected staff what the workflow does, what it does not do, and how to stop it. Review exceptions daily during the pilot. After two to four weeks, decide to keep, revise, or retire it based on accurate outcomes, customer experience, staff effort, and risk—not message volume alone.
